Exhibit freight for IAAPA Expo 2026
IAAPA Expo 2026 runs November 16–20 at the Orange County Convention Center in Orlando, across the West and South Buildings, with GES as the appointed General Service Contractor. This is a freight reference for it: the advance-warehouse deadlines, the move-in windows, and where the carrier's job ends and GES's drayage begins. Capital Site Logistics coordinates the over-the-road freight leg to the advance warehouse or the venue — matched to an FMCSA-authorized carrier and quoted per lane. Every date and figure below is drawn from the show's published GES kit.
Overview
One show, its dates, and the honest freight model
IAAPA Expo is the attractions industry's largest annual show and one of the biggest trade shows at the OCCC. A freight run into it is planned backward from the show's published dates — the GES advance-warehouse cutoff or the assigned move-in slot. What follows are those show-specific dates and the material-handling structure, drawn from the published GES kit, plus the one firm boundary every show run holds: the freight leg is the carrier's; the drayage inside the hall is GES's. For the building itself — docks, truck bays, clearances — see the OCCC venue guide.
Defined term
- IAAPA Expo 2026 exhibit freight
- The over-the-road transportation of exhibit and audiovisual equipment to IAAPA Expo 2026 (November 16–20, 2026) at the Orange County Convention Center in Orlando — to the show's GES advance-receiving warehouse ahead of the deadline, or direct to the venue inside the assigned move-in window — arranged with an FMCSA-authorized carrier and quoted case by case against the load, the origin and the target date. Capital Site Logistics coordinates that freight leg; the on-site move from the dock or marshalling yard to the booth (drayage) is controlled by GES, the show's appointed General Service Contractor, not the carrier.
Send the origin, the booth and the target move-in date.

Advance warehouse, or direct-to-show
Freight for IAAPA can reach the show two ways. Advance shipping sends it to the GES advance-receiving warehouse ahead of the deadline (opening October 1, 2026), where it is held and moved to the booth on the target move-in day — the safer path when the move-in window is tight. Direct-to-show sends it to the OCCC dock inside the assigned move-in window. The freight leg to either is what Capital Site Logistics coordinates; which fits depends on the booth's schedule.
A run is planned backward from the applicable date — the advance-warehouse no-surcharge cutoff or the move-in slot. From a Florida warehouse it is a short in-state lane; from out of state it is a linehaul planned around drive time to hit that date. The realistic transit is stated when the run is quoted rather than promised up front.
The freight leg is the carrier's; the drayage is GES's
Capital Site Logistics coordinates the over-the-road transportation to the GES advance warehouse or the OCCC dock. The on-site move from the dock or marshalling yard to the booth — drayage, or material handling — is GES's, the appointed contractor's, not the carrier's. Naming that line up front is how a show run stays honest: the carrier delivers to the dock; GES takes it from there. GES's material-handling rate is billed under its own published structure (a cited example is below).

What GES material handling looks like — cited from the kit
There is no CSL price for drayage — GES bills material handling under its published IAAPA Expo 2026 structure. Shown here as a cited, dated example, not a CSL rate; confirm the current figures in the GES kit before you rely on them.
Per the 2026 IAAPA Expo material-handling kit published by GES, standard freight was billed at about $0.82 per pound and non-standard freight at about $0.96 per pound, with a flat minimum for shipments under 25 pounds and a reduced per-pound rate at high weight tiers.

What the kit does not publish openly
Two figures from the GES kit are not extractable from public text and are deliberately not stated here rather than guessed: the advance-warehouse street address (rendered as an image on the official page) and the exact per-CWT material-handling figures beyond the cited example (the full order form). Send the booth and target date and we will confirm the current receiving details from the GES kit.
