Production & Live-Event Equipment Transport

When the rig has to be at the next venue on time, Capital Site Logistics coordinates the transportation — for staging, lighting, sound and production companies moving gear warehouse to venue, venue to venue, and back. Send the pickup, the venue and the load-in window, and the run is quoted against the load, the route and the timing. Your crew rigs the show; the transportation between dates is ours.

Overview

The rig has a call time, and the gear has to make it

Touring and live-event production runs on the venue's clock: gear has to be at the load-in on time, the show happens on the venue's schedule, and the rig has to move to the next date — often overnight, often across state lines. That is a transportation-coordination problem, and it is the one CSL solves for production and staging companies.

Defined term

Production equipment transport
Production equipment transport is the coordinated movement of live-event and production gear — staging, lighting, sound and rigging equipment — between shops and venues: warehouse-to-venue for load-in, venue-to-venue on the run of show, and the return after the last date. Capital Site Logistics coordinates that transportation with an FMCSA-authorized carrier, planned around the load-in and load-out windows and quoted per run against the load, the route and the timing. It is transportation coordination only — the equipment is loaded, unloaded, rigged and operated by the crew or the venue, and CSL does not handle, set up, place, receive or check in the gear. Because touring and live events cross state lines, production transport is a national run, confirmed when it is quoted.

What CSL coordinates

The transportation, planned around the show

You give us the pickup, the venue and the load-in window. Availability, vehicle fit and routing come back with the quote.

Warehouse-to-venue load-in runs
Transportation coordinated from your shop or warehouse to the venue, timed to the load-in window. The gear is loaded and unloaded by your crew or the venue; CSL coordinates the run and an authorized carrier hauls it.
Venue-to-venue on the run of show
When a production moves from one venue to the next, each leg is coordinated between the two locations and quoted against the timing between them. A tight turn between cities is planned around drive time and the next load-in.
Return transportation after the run
After the last show, return transportation from the venue back to the shop or on to the next date can be coordinated as its own run. Transportation only — the equipment is not received, inspected or checked in by CSL.
Multi-stop consolidation
Several pickups feeding one show — a lighting package from one shop, sound from another — can be coordinated as a single run and quoted together, so the freight is one job rather than a chain of shipments to track.
Planned around load-in and load-out windows
You send the load-in and load-out windows; the run is planned around them, and the realistic timing is confirmed when the run is quoted rather than promised in advance. A missed load-in on a live event is not recoverable, so the schedule drives the run.
The right vehicle for a cased rig
Cased, palletized or crated production gear is matched to the vehicle the load needs — the fit is worked out at quoting from the dimensions, the weight and how it is handled at each end. Cost is described as factors and quoted per run, not off a rate card.

Production runs

  • A staging company needs a lighting and rigging package moved from the shop to a downtown venue for a corporate show
  • A production is running two venues in one week and the gear has to move between them overnight
  • A tour needs equipment moved from one market to the next on the run of show
  • A sound company's rig has to leave early enough to make a venue's load-in window
  • Several vendors' gear — lighting, sound, staging — has to reach one venue on the same day
  • Equipment has to come back from the venue to the shop after the last date
  • A production is loading in out of state and the gear has to travel to the venue on schedule

FAQ

Production transport questions, answered

Don't see your question? Send us the details and we'll get you a clear answer.

No. Capital Site Logistics is a transportation company, not a production, staging or AV company. It coordinates the transportation of production and live-event equipment between shops and venues with an authorized carrier. The gear is loaded, unloaded, rigged and operated by your crew or the venue — CSL does not handle, set up or place the equipment.

Yes — venue-to-venue moves are one of the core runs for a production. Each leg is coordinated between the two locations and quoted against the timing between them, planned around the next load-in window. A tight overnight turn between cities is mostly drive time, so it is planned backward from the load-in; the realistic timing is confirmed when the run is quoted.

Yes — return transportation from the venue back to the shop, or on to the next date, can be coordinated as its own run. It is transportation only: the equipment is not received, inspected or checked in by CSL. Send the load-out window at the venue, the destination and the timing, and the return run is quoted like any other.

Cased, palletized, boxed or crated staging, lighting, sound and rigging equipment. Out of scope on any run: hazardous or otherwise regulated material, temperature-controlled freight, oversized or overweight permit loads, and anything needing heavy-haul, crane or rigging equipment. If a load is borderline, it is flagged during quoting.

Runs are arranged nationwide, across all 48 states, with an authorized carrier matched to each lane — touring and live-event work crosses state lines by nature. Capital Site Logistics is headquartered in Tampa, FL, so Tampa Bay and Florida are where most of the work is centered, but the origin, the venue and the run of show drive the lane. Send the pickup and the destination and the lane gets confirmed before anything is scheduled.
